We're Looking For: 

Executive Assistant & Online Membership Operations Manager

 

Job Overview: 

We are looking for a highly organized, proactive, and tech-savvy Executive Assistant & Online Membership Operations Manager to support the Beyond Brick & Mortar membership, the She Slays the Day podcast, and related digital marketing initiatives. 

This role will oversee two virtual assistants, manage podcast and email marketing operations, coordinate logistics for online and in-person events, and optimize the Beyond Brick & Mortar program experience. You will play a pivotal role in streamlining processes, growing the brand’s online presence, and ensuring high engagement across platforms.

This is a remote, U.S.-based position with flexible hours, though some availability during business hours is required for coordination. 

Key Responsibilities: 

 

Operations & Executive Support 
  • Act as the right-hand person to the program founder, ensuring smooth execution of initiatives. 
  • Oversee and coordinate two virtual assistants, ensuring deadlines are met and tasks are executed efficiently. 
  • Manage scheduling, administrative tasks, and logistics for the Beyond Brick & Mortar membership. 
  • Research and book venues, caterers, and travel arrangements for in-person events. 
  • Keep projects on track and identify bottlenecks before they become issues. 

Podcast Management & Visibility 

  • Assist in managing the She Slays the Day podcast, including guest outreach, scheduling, and logistics. 
  • Coordinate PR and podcast outreach to book the founder as a guest on other podcasts. 
  • Ensure show notes, promotional materials, and content repurposing are handled effectively by the VA team. 

Membership & Community Engagement 

  • Ensure a high-quality experience for Beyond Brick & Mortar members by responding to inquiries and fostering engagement. 
  • Oversee content optimization and resource management to enhance the membership. 
  • Assist in launching new challenges, live trainings, and engagement strategies for the community. 
  • Monitor member activity and provide feedback on retention and engagement improvements. 

Email Marketing & List Growth 

  • Oversee email campaigns and automation, ensuring consistency and engagement. 
  • Manage virtual assistants in creating lead magnets and freebies to grow the email list. 
  • Ensure Kajabi and other marketing automation tools are optimized for maximum efficiency. 

 

Qualifications: 

  • Experience in executive assistance, project management, or online business operations (3+ years preferred). 
  • Strong leadership and team management skills—experience overseeing virtual assistants or remote teams is a plus. 
  • Ability to coordinate logistics, book venues, and manage vendors for events. 
  • Familiarity with Kajabi, podcast production, and online membership platforms. 
  • Experience in email marketing, automation, and lead generation strategies. 
  • Strong organizational and problem-solving skills with the ability to self-manage and prioritize tasks. 
  • Excellent written and verbal communication skills. 
  • Experience in building or managing a personal brand is a plus. 

 

Compensation & Work Expectations: 

  • Fully remote position, U.S.-based candidates only.  Preference for Wisconsin/Minnesota based candidates but not necessary.  
  • Part-time with path to full-time, depending on experience and workload. 
  • Flexible work hours but availability during core business hours for coordination. 
  • Competitive pay based on experience.
